Summary

The Client Contracts Supervisor will play a key role in assisting with the time narrative review process by summarizing data and feedback from clients. This position will support the Client Contracts manager and work closely with the Accounts Receivable, Billing, Conflicts, and eBilling departments. They will also play a  role in leading a team responsible for the review, categorization, implementation, and final communication of the finance, accounting and billing requirements contained in client Outside Counsel Guidelines (OCG) or billing guidelines. The Client Contracts Supervisor will have supervisory responsibilities for several analysts.

Duties and Responsibilities

  • Leverage new technologies that will help the Firm comply with client’s OCGs and proactively prevent financial leakage.
  • Play a key role in investigating root causes of invoice rejections, reductions, or delays related to guideline compliance
  • Establish and maintain a framework to ensure compliance of time narratives for partner preferences and Outside Counsel and Billing Guidelines.
  • Review and analyze OCGs or billing guidelines received from clients to identify new requirements that will have an impact on the client’s billing process or realization.
  • Play a key role in the Firm’s use of the Intapp Terms system, contributing to the development of new processes.
  • Ensure that the documents housed in SharePoint and Intapp Terms are both complete and accurate at all times.
  • Work closely with the Client Contracts Manager to accurately monitor the status of client reductions and maintain a tracking tool. Escalate the items that need further attention in a timely manner.
  • Responsible for the direction, supervision and development of staff in a fast-paced environment. Complete staff evaluations annually. 
  • Train staff within and outside our department on processes and procedures.
  • Ensure that the firm’s financial and legal management systems (3E and Intapp Terms) are set-up for compliance with client billing guidelines.
  • Effectively communicate the finance, accounting and billing guidelines to appropriate firm staff and departments.
  • Address questions and issues from clients and firmwide staff related to the cost set-ups in 3E.
  • Prepare documentation of processes and procedures.
  • Provide excellent client service to our attorneys, billing specialists, clients and other Firm personnel.
  • Work closely and harmoniously with the manager and other supervisors in our department.
  • In addressing questions, issues, and normal daily activities, conduct root cause analysis to identify opportunities for process improvements and training that could prevent similar issues in the future.
  • Other duties as assigned.

Salaries vary by location and are based on numerous factors, including, but not limited to, the relevant market, skills, experience, and education of the selected candidate. If an estimated salary range for this role is available, it will be provided in our Target Salary Range section. Target Salary Range

$105,000 - $120,000 if located in Illinois

Education and/or Experience: 

Required:

  • Bachelor’s degree
  • Minimum of five years of work experience in relevant position
  • Minimum of one year of supervisory or project management experience and the demonstrated ability to drive process improvements across a matrix environment
  • Experience in defining processes, conducting root cause analysis and delivering process improvements
  • Strong project management skills with an ability to work independently, develop effective project plans, and deliver on established timelines.
  • High-level of proficiency with Microsoft Office applications including Excel

Preferred:

  • Experience with contract review
  • Experience in a legal or professional services environment
  • Experience with 3E
