Summary

The Facilities Assistant assists in the daily support and maintenance of the Firm’s administrative team and assures that the facility is organized, clean, well-kept and comfortable for all employees and visitors.

Duties and Responsibilities

  • As part of reception support, greet arriving personnel, clients, and visitors and serve as a point of contact.
  • Handle incoming calls and route calls to the appropriate parties.
  • Demonstrate high standards of verbal and written communication, courtesy, and professionalism when answering all calls and when interacting with all personnel, clients, vendors, and guests of the Firm.
  • Manage the data for meetings, conference room reservations, and other appointments.
  • Maintain the physical upkeep and aesthetic appeal of shared office facilities such as lobbies, hallways, vents, signs, reception areas, lunch rooms, coffee stations, and conference rooms.
  • Conduct daily floor inspections (morning and afternoon), including all common areas (conference rooms, supply areas, pantry areas, phone rooms, and guest areas). This also includes a furniture inspection, re-stocking of office supplies in the conference rooms, opening all blinds and turning on all lights.
  • Conduct monthly fire extinguisher inspection & emergency survival kit inspections (serviced annually).
  • Manage and set up in-office catered events.
  • Complete requests for ergonomic equipment and request installations as needed.
  • Assist with all internal moves under the supervision of the Office Manager.
  • Know, understand, and work in accordance with the provisions of the Sidley Staff Policy and Procedures Manuals.
  • Perform other job-related duties as assigned or as judgment or necessity dictates.

Salaries vary by location and are based on numerous factors, including, but not limited to, the relevant market, skills, experience, and education of the selected candidate. If an estimated salary range for this role is available, it will be provided in our Target Salary Range section. Target Salary Range

$53,000 - $60,000 if located in California

Education and/or Experience: 

Required:

  • High school diploma or general education degree (GED)

Preferred:

  • Previous experience in a business environment.
