  • Summary

    The Legal Recruiting Assistant provides administrative support to the West Coast Legal Recruiting Director and to the Sr. Legal Recruiting Coordinator.

    Duties and Responsibilities

     

     

    Administrative Responsibilities

    • Scheduling conference rooms
    • Preparing new lawyer announcements
    • Processing bar expense reimbursements for incoming/lateral associates
    • Preparing applicant materials to be entered into applicant management system
    • Updating and maintaining associate, summer program and OCI-related spreadsheets
    • Preparing onboarding paperwork for new hires
    • Preparing check requests (including candidate expenses, admin recruiting expenses, sponsorships)
    • Maintaining law school sponsorship charts
    • Requesting invitations and ads from Marketing for all recruiting-related events
    • Processing transcript release forms

     

    Summer Program

    • Maintaining summer program files (project assignments, work product and evaluations)
    • Tracking summer program budget
    • Assisting with coordinating logistics for all summer program events on/off site
    • Preparing nametags for summer program events
    • Preparing weekly calendar memorandum

     

    Fall Recruiting

    • Handling on-campus interview registration, including schedule requests, processing registration fees, requesting interview rooms
    • Assisting with on-campus hospitality suite arrangements
    • Assisting with coordinating post-OCI receptions and post-callback receptions
    • Processing and tracking candidate expenses
    • Preparing and tracking split cost requests
    • Preparing on-campus interview materials for on-campus recruiters
    • Responsible for sending materials to various law schools for events/on-campus interviews
    • Collecting RSVPs for all recruiting-related events
    • Handling on-campus interview feedback at the end of the fall recruiting season
    • Creating manila file folders for all candidates
    • Creating offer/regret letters for callbacks as well as mailing letters
    • Handling the mailing of post-offer gifts

    Education and/or Experience: 

    Required:

    • Degree or equivalent from an accredited university, college or technical school.
    • Demonstrated proficiency in Microsoft Suite (Word, Excel, PowerPoint).
    • Additional hours may be required during periods of heavy workload. Flexibility is required in the daily work schedule to accommodate lawyer and general Firm requirements.

    Preferred:

    • Bachelor’s degree or equivalent from an accredit university or college or technical school.
    • Minimum of two years law firm experience.
    • Proficiency in advanced functions of the Microsoft Suite (Word, Excel, PowerPoint).
    • Experience working with databases (recruiting, PeopleSoft) would be a plus.
