  • Summary

    The Human Resources Assistant will provide various levels of administrative support to assist with the services provided by corporate Human Resources. The Human Resources Assistant will support the members of the corporate Human Resources team by carrying out duties that support the proccesses, procedures and programs for corporate staff across all offices.

    Duties and Responsibilities

    • Create and distribute forms to process data on new hires, non-employees, interns, terminations, position and status changes, salary, leave of absences, etc.
    • Create job requisitions and manage activity of new hires in the Applicant Tracking System. This includes, but is not limited to, sending and monitoring the completion of onboarding paperwork and completing new hire forms to get them entered into PeopleSoft.
    • Track and follow up, as necessary, with various departments for information needed to set up new hires.
    • Review and process time sheets in the Time and Attendance System before payroll is processed on a bi-weekly basis. Troubleshoot and support staff questions on an ongoing basis.
    • Prepare departure folders and complete tasks for exit interviews, including scheduling of rooms and creating exit summary outlines.
    • Monitor the corporate Human Resources inbox on a daily basis and funnel emails to the appropriate team member. Respond to emails on new hires, background checks and other miscellaneous items.
    • Assist in the preparation and planning of new hire orientation.   Coordinate services between teams, as needed.  
    • Run weekly and monthly audits and reports, including but not limited to, non-employee report, leave of absences report, officer code report, new hire questionnaire report, etc.
    • Respond to unemployment claims, as directed.
    • Assist with editing and maintaining job descriptions, various spreadsheets and other shared documents as directed by the Human Resources Manager and Director.
    • Maintain OnBase personnel files.
    • Send reminders, follow ups or general communication to corporate staff, as needed, on behalf of other Human Resources teams, including but not limited to, incomplete training schedules, non-employee status confirmations, etc.
    • Assist in all administrative duties related to the annual performance management process.
    • Answer general employee questions.
    • Assist with special projects.
    • Perform other related duties, as needed.

    Education and/or Experience:

    Required:

    • Bachelor’s degree from an accredited college or university
    • Proficiency in Microsoft Office Suite

    Preferred:

    • Prior human resources, professional services or general office experience
