  • Summary

    Guided by office and firm-wide objectives and priorities and working closely with the Director of Administration, the Secretarial Services Manager is responsible for the overall supervision of legal secretaries and administrative assistants/interns. This includes but is not limited to: direct supervision of SMT Supervisor(s); setting the tone and direction for the secretarial staff; recommending policy changes; implementing new programs; developing continuing education strategies; establishing hiring standards; charting direction for the evolving role of the legal secretary; and overseeing performance management.

    Duties and Responsibilities

    • Responsible for talent management of supervisor(s) with a vision toward evolving needs including interviewing, hiring and training; planning, assigning and directing workflow; appraising performance; rewarding performance and recommending disciplinary action where needed.
    • Develop and implement department goals, objectives, and procedures, including input from meetings with partners and/or practice group leaders and Human Resources, as needed.
    • Manage recruitment efforts for department including assisting in writing job descriptions and interviewing in concert with Supervisor(s).
    • Work closely with supervisor(s) to maintain adequate secretarial staffing to support the Firm’s needs, which includes projecting staffing needs.
    • Confers with the Human Resources to discuss staffing needs, including secretarial reassignments, unmanageable workloads, and conflicts between secretary and attorney and secretary and supervisor(s).
    • With input from supervisor(s) advises Staff Training & Professional Development with the analysis, development and implementation of training programs for the secretarial staff.
    • Manages Performance Management system for secretarial services department, including recommending increases, bonuses, promotions, transfers, etc., with input from suervisor(s).
    • Conducts performance evaluations and review meetings with secretarial staff in conjunction with supervisor(s) and Human Resources.
    • Coach and counsel supervisor(s) regarding Firm policy and to assist in the resolution of job-related challenges, interpersonal conflict and workflow management within secretarial services department.
    • Conducts disciplinary meetings with secretarial staff in conjunction with supervisor(s) and documents problems accordingly. Makes recommendations to resolve problems as needed.
    • Liaison between secretarial services department and other departments.
    • Participate in administrative staff meetings and attend other meetings as necessary.
    • Performs other duties as assigned by the Director of Administration and/or Human Resources.

    Education and/or Experience:

    • Five years or more of supervisory/management experience
    • Previous law firm or professional services firm experience



    • Bachelor’s degree (B.A. or B.S.) from an accredited college or university
