Summary

A legal secretary supports attorneys with various administrative tasks. This includes collaborating, coordinating and maintaining effective and efficient work flows while adhering to firm policies and procedures.

Duties and Responsibilities

  • Perform a variety of secretarial functions including processing new client/matter reports, expense reports, preparing exhibits, transcribing and revising digital audio;
  • Create, format, proofread, edit and finalize a variety of legal documents; including correspondence, charts, motions, briefs, pleadings, contracts, letters and memoranda;
  • Organization of lawyer’s document management system, court filings, deals, closings and overall workflow;
  • Responsible for inputting attorney daily time entries through inTapp time system, and consolidate and edit time to ensure accuracy of input;
  • Coordinate travel arrangements including air, hotel and cars for attorneys and clients;
  • Handles reimbursements of personal and client related expenses such as telephone calls, meals and travel using the electronic accounting system;
  • Receive, screen and transfer telephone calls, administer conference calls, and provide prompt messages to attorneys, clients, and staff;
  • Schedule and coordinate meetings and appointments for attorneys and clients including conference rooms and service of food;
  • Oversee incoming and outgoing deliveries and mail, distribute promptly upon receipt;
  • Coordinate work performed by support services for prompt productions and ensure delivery of completed requests and/or services;
  • Remain up to date on office policies and procedures;
  • Perform other duties as assigned or as judgment or necessity dictates.

Education and/or Experience:

Required:

  • Proficiency in Microsoft Office, specifically Word Outlook, PowerPoint and Excel
  • High school graduate

 

Preferred:

  • Bachelors degree or equivalent relevant experience
  • Ability to accurately type 75 words per minute
