Summary

The Legal Recruiting Assistant provides administrative support to the Legal Recruiting Manager and broader recruiting team. This role assists in coordinating key recruiting initiatives, including the Summer Associate Program, campus recruitment events, and interview programs, as well as supporting day-to-day recruiting functions and special projects. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment.

Duties and Responsibilities

General

  • Assists in managing law school accounts and coordinating on-campus interview (OCI) programs.
  • Serves as a point of contact for attorneys, candidates, summer associates, and incoming associates via phone, email, and in person.
  • Coordinates all aspects of candidate interviews, including scheduling, preparation and distribution of materials, communication of updates, greeting candidates, and support of in-office interview logistics.
  • Arranges candidate travel and processes related reimbursements.
  • Compiles candidate evaluations and assists in drafting offer letters and follow-up communications.
  • Submits candidate background and internet research requests.
  • Maintains and updates legal recruiting databases, ensuring accuracy of candidate records and data entry.
  • Collects, organizes, and maintains recruiting files and records.
  • Assists in the planning and execution of recruiting programs and events, including the Summer Associate Program, law school presentations, and other recruiting initiatives.
  • Coordinates logistics for recruiting events, including vendor communication, invitations, scheduling, budgeting, and on-site support.
  • Assists with tracking and coordination of sponsorships and recruiting-related expenses, including processing invoices and maintaining detailed spreadsheets.
  • Monitors inventory of recruiting materials and coordinates ordering of supplies as needed.
  • Creates, distributes, and analyzes internal surveys and feedback mechanisms.
  • Schedules recruiting meetings and prepares materials, as needed.
  • Liaises with Marketing to create associate and summer associate directories.
  • Assists with after-hours events and activities, which will require periods of overtime.
  • Performs other duties as assigned or as needed.

Summer Program

Supports all aspects of the Summer Associate Program, including:

  • Coordinating pre-arrival communications and onboarding logistics
  • Preparing orientation materials and welcome packets; conducts office tours
  • Maintaining program files, webpages, and internal resources
  • Assisting with assignment tracking and database updates
  • Coordinating training sessions, orientation schedules, and securing attorney participation
  • Supporting mentor program coordination and pairings
  • Assisting with planning and execution of summer events, including logistics, communications, and payment coordination

Education and/or Experience: 

Required:

  • Associate’s degree
  • Demonstrated proficiency in Microsoft Suite (Word, Excel, PowerPoint)

 

Preferred:

  • Bachelor’s degree
  • Recruiting experience in a law firm environment
  • Experience working with HR databases
