Summary

The Secretarial Coordinator plays a key role in supporting the Secretarial Services Manager in ensuring the consistent delivery of high-quality administrative and secretarial services. This position requires sound judgment, discretion, and initiative to manage operations, coordinate team resources, and enhance service delivery across the Full-Service Administrative Support (FAS) Team. Duties and Responsibilities

  • Coordinate daily operations and workflows of the Full-Service Administrative Support (FAS) Team to ensure consistent support and exceptional service delivery.
  • Assist in managing secretarial coverage for both scheduled and unscheduled absences.
  • Oversee distribution of overflow work, ensuring assignments are completed timely and accurately.
  • Monitor workloads and proactively assess resource needs; escalate priority shifts to the Secretarial Services Manager.
  • Assist with onboarding and training of new secretarial staff; support implementation of skill-building initiatives.
  • Recommend and help execute process improvements, workflow enhancements, and training updates.
  • Facilitate mentor assignments for new hires; evaluate effectiveness and suggest improvements.
  • Participate in candidate interviews and selection as part of recruitment efforts.
  • Provide feedback for performance evaluations and help identify team training needs.
  • Support department-level projects to enhance administrative service delivery across the firm.
  • Build subject-matter expertise in secretarial tools and workflows to aid in process innovation.
  • Generate and analyze utilization reports and performance metrics.
  • Maintain key reports, including lawyer assignments and team status updates.
  • Serve as backup secretary during coverage gaps, as needed.
  • Participate in regular meetings with the Secretarial Services Manager and Secretarial Management Team to provide updates and share insights.

Salaries vary by location and are based on numerous factors, including, but not limited to, the relevant market, skills, experience, and education of the selected candidate. If an estimated salary range for this role is available, it will be provided in our Target Salary Range section. Target Salary Range

$80,500 - $102,700 if located in Washington, D.C.

Qualifications

Education and/or Experience:

Required:

  • Minimum of 3 years of legal secretarial experience or equivalent combination of education/training.
  • Proficiency in MS Office Suite, Adobe Acrobat, Quest, legal document formats.
  • Ability to type a minimum of 55 wpm.

Preferred:

  • Degree from an accredited college or university.
  • Prior experience in a law firm or professional services environment.
  • Familiarity with Quest and other firm-based technologies.
